New Employee Checklist

Prior to Day 1

Welcome Email - You will be contacted by Human Resources to begin the onboarding process at Penn State. 

Complete Background Check - You will receive an e-mail from Penn State Human Resources with a subject line and Penn State Request for Information. Please complete the online consent and authorization to conduct a background check. If your position requires the three publicly-available clearances, you will need to follow the instructions carefully to complete these as soon as possible so that the results can be received prior to your first day.

Access Account - You will receive an email from identity@psu.edu with a subject line “Penn State Access Account Activation.” Included in this email is a link to activate your Penn State access account and email. This must be done within 7 days of receipt of this email.

Gather identification documents for completion of I-9. (Acceptable Documents)

Schedule onboarding appointment with Penn State.

On or before your first day of work, attend your scheduled onboarding appointment at PSU, and bring the following:

  • Employment Eligibility Documents (Original and unexpired) 

  • Bank Account Information for Direct Deposit - a voided check and/or bank account and routing number

  • Completed three Publicly-Available Clearances, if applicable (if you have not received them by your onboarding date, please contact HR Data & Onboarding at (814) 865-9285, or DataOnboarding@psu.edu to discuss your start date and reschedule your onboarding appointment.

During this appointment, you will receive your employee ID card and a temporary parking permit, if applicable.

Day 1

Enroll in DUO two-factor authentication if you have not already done so: get2fa.psu.edu/.

Visit your unit's parking contact to obtain an employee parking permit, if desired.  Typically, work units are only able to offer parking permits to full-time employees. Additional information on parking and transportation options (and rates) at Penn State are available at transportation.psu.edu

Day 2 and Beyond

Sign up for online new employee orientation. New Employee Orientation will provide an overview of Penn State and offer benefits-related insights to new employees to assist them in the selection of a benefits package that is tailored to their personal needs. It is held online via Adobe Connect.  To register for one of the scheduled orientation sessions, please visit http://lrn.psu.edu/. You must enter your Penn State ID number and Penn State e-mail address (ex: abc123@psu.edu). If you need further assistance, please call (814) 865-1473 or email AskHR@psu.edu.

Enroll in benefits within 30 days at https://app3.ohr.psu.edu/essic - You will not be able to complete enrollment until your appointment has fully processed in the system, which can be the second or third week of the month. You can tell that everything has processed when your job title and department show up in the PSU Directory, www.psu.edu/ur/search.html. Until then, you will only be able to see your name and email.
